My 4 Favorite Productivity Tools to Make Work and Life More Efficient!

As a Digital Marketer and someone who values efficiency, I place great importance on planning my daily work and life. Over the past decade in digital marketing, I’ve experimented with numerous productivity tools like Trello, Jira, Bitrix, Zoho, LucidChart, Monday.com, and Evernote to manage projects, collaborate across teams, plan trips, and even organize daily tasks.

After years of trial and refinement, I’ve narrowed it down to these four essential tools that keep me on top of everything.

Notion: The Ultimate Knowledge Management Tool

Notion is an all-in-one productivity tool that combines note-taking, document management, project tracking, knowledge base, and databases. With a high level of customization, users can create workflows that suit personal notes, team collaboration, and company knowledge management.

Key Features

  • Note & Document Management: Rich text editing with the ability to insert images, to-do lists, code blocks, and more.
  • Database Management: Various views such as tables, lists, Kanban boards, and calendars for structured data organization.
  • Task & Project Management: Assign tasks, set deadlines, and collaborate within teams.
  • Integrations: Supports embedding Google Drive, Figma, Trello, and other tools.
  • Cross-Platform Support: Syncs seamlessly across web, desktop, and mobile.

Personal Experience

Since switching to Notion in 2021, I’ve migrated most of my Trello and Evernote content over. It serves as my project management hub, daily planner, recipe collector, journal, course notes organizer, travel planner, etc.

Tip: Notion offers a variety of templates, so even beginners can quickly find a setup that works for them without having to create one from scratch.

Miro: The Infinite Whiteboard for Creativity and Collaboration

Miro is an online whiteboard collaboration tool widely used for brainstorming, design thinking, product development, and remote meetings.

Personal Experience

Miro is my “external brain” — a space where I collect raw ideas and brainstorm. I also use it as a wireframing tool for UI/UX projects and to compile inspiration from screenshots I gather online.

MindMeister: The Best Mind Mapping Tool

MindMeister is an online mind mapping tool perfect for brainstorming, idea structuring, and project planning.

Personal Experience

Mind maps are essential for a Digital Marketer, especially for website content planning. One of its standout features is the ability to generate tasks directly from the mind map and assign them to team members. That said, since adopting Notion, I mostly use MindMeister for structuring ideas, while task management has shifted entirely to Notion.

Clockify.me: The Ultimate Time Tracking Tool

Clockify is a free time-tracking tool designed for individuals, freelancers, and teams to log work hours, analyze time usage, and improve efficiency.

  • Time Tracking: Manually or automatically log time spent on tasks.
  • Project Management: Allocate time per task and track team progress.
  • Data Reports: Generate detailed time analysis reports.
  • Multi-Device Support: Syncs across web, desktop, and mobile.

Personal Experience

I use Clockify mainly to track how much time I spend on each task. It helps me analyze which tasks consume the most time and optimize my workflow. Clockify has recently added an invoicing feature, which I plan to explore in the future.

How I Use These Tools Efficiently — My Workflow

Brainstorming Phase → Use Miro

  • Start with Miro to jot down rough ideas using sticky notes.
  • Collect screenshots and reference materials for visual inspiration.

Structuring Ideas → Use MindMeister

  • If an idea needs organization, use MindMeister to create a structured mind map.
  • Particularly useful for website content planning.

Task Management → Use Notion

  • Break down tasks and add them to Notion’s Kanban board.
  • Assign weekly to-do lists and track progress.

Time Management & Review → Use Clockify.me

  • Track time spent on each task.
  • Regularly review and adjust time allocation for better productivity.

These four tools complement each other, significantly boosting both personal and team productivity:

Of course, tools like Google Docs remain essential for document collaboration. The best tool ultimately depends on your workflow. My choices don’t mean other tools aren’t good — they simply fit my current management style best. If a project requires a different tool, I’m always open to adjusting my workflow accordingly.
